Want Your Residents to Use Online Payments? 3 Email Templates for You!

HOAs and PMCs who have the abiity to collect online payments for dues and fees should not be shy about encouraging their residents to adopt a new way to pay. We joke about you getting fewer paper cuts but the struggle is real. We've created 3 email templates that you can use in your newsletter or in a bulletin, as a way to get more residents to use online payments.

Email #1: New to residents

Subject Line: Important announcement: Online payments are here!

Dear Resident,

I hope your summer is going well! I am writing to tell you about an awesome new service we have available to all residents—online payments.

Yes, you can now pay your HOA dues and fees online, with just a few clicks. This feature is super easy to use and you can choose between paying by one-time or recurring debit, credit, or recurring ACH.

Paying your dues and fees online is much more convenient for you, quicker than writing out checks, and sending them in the mail. (No more paper cuts!) If you set up recurring credit, debit and ACH payments, you won’t ever incur a late fee again. Set it and forget it.

There are 6 ways you can pay:

  • Recurring debit
  • Recurring credit
  • Recurring ACH
  • One-time debit
  • One-time credit
  • One-time ACH

It only takes a few minutes to set up the online payment. Just go to our community website and click Make Payment. Then follow the prompts.  Then you can set up online payments and forget it. If you’re having issues signing up, reach out to me with questions.

Email #2: Reminder to residents

Subject line: Did you know you can pay your HOA dues online?

Dear Resident,

We told a few weeks back about our new feature, online payments. HOA fees are due again, and we wanted to reach out to you and remind you that you can pay these fees online. There are 6 ways you can pay:

  • Recurring debit

  • Recurring ACH
  • One-time debit
  • One-time credit
  • One-time ACH

It only takes a few minutes to set up the online payment. Just go to our community website and click Make Payment. Then follow the prompts. Set up online payments and forget it. If you’re having issues signing up, reach out to me with questions.

Email #3: Encourage more folks to adopt online payments

Subject Line: Get set up with online payments in 4 minutes!

Dear Residents,

I hope your summer is going well. I wanted to take a moment to encourage each of you to take just FOUR minutes and set up online payments. I know HOA dues and fees are your least favorite thing but we've worked to make it as painless as possible with an online payment function. I know that I pay all of my bills online, so why shouldn't we be able to pay our HOA dues online, too! No more licking envelopes and searching for stamps. YAY!

There are 6 ways you can pay:

  • Recurring debit
  • Recurring credit
  • Recurring ACH
  • One-time debit
  • One-time credit
